Server-based disclaimer functionality
Ninja's new disclaimer plug-in delivers functionality to include global and user-based disclaimers for all outbound email for Exchange 2000 and 2003. Administrators have the ability to configure policy-based disclaimers based on specific users, groups, domains, or public folders. User-based disclaimers enable users to adjust their disclaimer statements according to a specific user or department. Ninja also prevents multiple disclaimers when replying or forwarding and gives administrators the ability to allow users to bypass the disclaimer on a per email basis.
Additionally, disclaimer templates are included to allow easy set up of disclaimers using HTML or plain text. Template samples include legal disclaimers, virus warning disclaimers, copyright disclaimers, and more. Unlike legacy security products that filter at the gateway, Ninja's Suspicious Mail Attachment Removal Technology™ (SMART) is the first policy-based attachment filter that filters all attachments based on email direction– inbound, outbound or within the organization. + Are there different versions of Ninja for Exchange 2000/2003 and Exchange 2007?
Yes, there are different versions. Exchange 2007 (E2K7) was recently released and runs only on 64 bit platforms, and we developed a version of Ninja that works exclusively with E2K7. This is a separate version / download than the one for Exchange 2000/2003. There are more E2K7-related FAQ's at the end of this list.
+ What is Ninja Email Security?
After talking to thousands of our iHateSpam for Exchange customers, and having a very thorough look at the competition, we decided to create a Version 2.0 which dramatically expands the original iHateSpam for Exchange features. Ninja handles all of your messaging security needs: spam, virus, disclaimers, content auditing/filtering, smart attachment filtering and several other planned plug-ins. It is a third-generation messaging security product, the first of its kind, and a great combination of 'best-of-breed' and 'all-in-one'.
+ Why are you calling this a 'third-generation' messaging security tool?
Let's have a 30-second look at the history of messaging security.
Stand-alone antivirus products that just protect your email and do nothing else, are First Generation tools. They are implemented on either a mail server or a gateway, are "doing their thing", without you as an admin having much flexibility at all.
Second Generation tools provide more functionality, for instance where the same product allows a system admin to filter both viruses -and- spam. Mostly these were originally AV solutions where the antispam functionality was bolted on as an afterthought, with the resulting problems in both the GUI and flexibility.
Third generation tools are called that way because they approach the whole messaging security problem from a new, 100% policy-based perspective. After a good look at the existing products out there, third-gen tools are designed from the ground up as a framework, where 'best-of-breed' plugins can seamlessly work together in an easy to use, 'all-in-one' MMC environment. This allows you as an admin to create policies for the different groups in your organization, and provides you with the means to rule with an iron fist but be super flexible at the same time. A product like this saves significant admin time and IT budget.
+ Which third-party AV engines come with Ninja and are they any good?
Currently, after a thorough evaluation of available AV-engines, we have licenses with both Bitdefender and Authentium (also known as Command Software). These two 'come in the box' with Ninja. Bitdefender was recently tested by PC Mag and came out ON TOP with 6 out of 6. BitDefender was also tested by PC World and emerged as their BEST BUY.
AV Patterns are hosted by Sunbelt. These will be pushed real-time from the AV vendors updates to our site. There should be no noticeable delay. The same is true for the engines themselves. In short, it's going to be the same as you would get it from the AV developer directly.

+ I already have AV covered, can I run Ninja without AV?
Yes, you can. However, when you see the price per mailbox for Ninja's integrated AV, compare that to your current yearly AV maintenance price and you'll see Ninja is highly likely going to save you a lot of budget money. Ask your rep or reseller about the special 'AV-upgrade Program' we offer.
+ Where do the AV pattern updates come from - Sunbelt or directly from the AV vendor? If from Sunbelt, is there any delay between the vendor releasing updates and them being available to Ninja?

+ What makes the Ninja Attachment Filtering (AF) so "SMART"?
There are several different reasons why it is so powerful:
- It is the only attachment filter that checks inbound, outbound and internal attachments.
- It looks beyond many types of file extensions, delving into the actual file headers as opposed to just the file extension itself. This means that simply renaming a ".exe" file to a ".txt" will not fool the attachment filter and functions as an important zero-day attack protection.
- It is policy-based so Admins can create different setting for users and groups of users so you have a 100% detection and removal of possible malicious attachments while at the same time allowing policy level exceptions for outbound and internal traffic. The AV and AF plug-ins together are highly effective, with extremely low overhead.
+ Some gateway vendors tell me it is better to stop spam before it gets to the server?
In more complex environments, defense at the perimeter makes a whole lot of sense. Ninja works great in sites where the Exchange server sits right after the gateway. In that scenario there is not a lot of bandwidth loss, and the benefits of running it ON server are significant.
We investigated implementing messaging security on the Gateway (or for instance a Barracuda box), but this cuts down your functionality significantly compared to directly integrating with Exchange. Gateway products filtering spam are limited to IN-OUT, but cannot look at internal email. That severely hobbles smart attachment filtering, content filtering/auditing for inappropriate internal email, and a lot more.
An excellent example of the benefit of running this "on-server" is the smart attachment filtering we built into Ninja. It allows you to rule with an iron fist regarding who can send and receive exe's both incoming/outgoing and internal/external, and support regular expressions. This is very powerful stuff that gateways can never deliver.
+ Is Ninja protecting my users against Phishing?
Yes, the Cloudmark spamfilter has this as a built-in feature and is very regularly updated.
+ I have an existing Ninja license for x mailboxes and want to expand this with y more. How does that work?
To expanding an existing license, it's best to call in and ask for your sales rep. They can do this for you, as you need to get the best price per mailbox!
+ What kind of AV scanning does Ninja do?
Unlike some low-end competitors, Ninja does both real-time antivirus scanning on the Exchange information store as well as full scans of existing items in the information store!
+ What is the overhead that Ninja is putting on my Exchange Server? How much CPU is it taking?
Most Exchange Servers are running with the CPU lower than 50%. During our testing we have seen that Ninja with antispam, antivirus and attachment filtering under full load adds about 10% to that load. So a server running at 50% CPU would now run at an average of 60%. However, it can be a lot less! As an example, our own production Exchange Server, a 2 CPU dual-core 3.2 GHz box with 3 gigs of RAM hosting 200 mailboxes, running Ninja processed just under 100,000 email messages in a 24-hour period with the average CPU utilization at 15% CPU, the total Ninja CPU utilization was less than 3% of the CPU.
+ What happens if my period of performance for a plug-in runs out?
The plug-in keeps working but no longer gets updates or support. Ninja keeps all your current settings, and continues to run but no new versions of spam definitions, virus signatures, or attachment definitions will be pulled into the product.
+ What size business is the product targeted to?
Sunbelt traditionally has serviced small and medium business. Ninja will run perfectly fine from 10 to 1,000 users but can easily scale up to 10,000 mailboxes if you have a server which can handle that load.
+ How do I cost justify a tool like this?
Easy! Recently, a Ferris Research report showed that it costs companies
between US$50 and $100 a month per employee to deal with just spam protection, let alone full messaging security. (download the PDF that sits on that page) But even if this would be only half the cost, the price of Ninja Email Security per mailbox pays back for itself in just a few WEEKS. How about that for a fast ROI !
+ Which products are you competing with?
At the high end, Ninja is in the space of MailMarshal, and Sybari's Antigen (now Microsoft). At the low end it would be GFI MailEssentials. But Ninja outclasses these products easily since Ninja is a third generation product, true policy-based from the get-go, and was built years after all of these products shipped. Ninja is fully integrated with MS Exchange 2000 and 2003, and was developed after extensive experience with messaging security and with support from Microsoft (we are a Gold Certified Partner). All Ninja's modules play well together, are 'best-of-breed' themselves, but provide you with an 'all-in-one' and easy to use interface. Ninja was built by admins for admins!
+ Can I enable filtering per mailbox / per module?
For most modules, yes. For antivirus, no. If you buy AV, Exchange does not allow us technically to pick and choose, it's all mailboxes or nothing. For Antispam, you only buy the amount of mailboxed you want to filter. Attachment filtering is free (limited time offer), and the next modules coming out soon are each depending on what is technically feasible with Exchange.
+ Using Ninja, can I protect against outbound email threats and can the established policies enforce actions to meet regulatory compliance?
With Ninja, creating custom policies, you can block virtually any type of outbound email traffic, so depending on your level of compliance requirements this may very well be possible.
+ What is meant by "directional and source level control"? regarding the Attachment Filtering?
"Directional" would be inbound/outbound whereas "Source" level would be internal/external. For example, an email with inbound/internal would be some one inside the company sending email to some one else. If that some one else sent a reply then from their viewpoint it would be outbound/internal. Keep in mind that rules would get processed from both your people's viewpoint. Just because you're allowed "outbound/internal" for .exes doesn't mean everyone else internally can get it, their policy rules for "inbound/internal" might be strict and block it. Other products don't do any of this powerful "ninja logic".
+ Can I run Ninja together with my existing AV on my Exchange Server?
Yes, you can. You cannot however run them at the same time. It's one or the other. You need to Uninstall your old AV product before you can activate the Ninja AV module.
+ Who made your product? From where is it supported? Where are the developers?
Ninja is and will continue to be designed, coded, supported and marketed from the United States only. Sunbelt can provide 24/7/365 support options for your site in addition to your normal maintenance.
+ I have no time to spend half of my day weeding through quarantine boxes and find false positives. How do you solve this?
First off, the spam engines are constantly updated. Your users can be given their own allow and block list options so that they can indicate which people they want to receive email from or not. The vast majority of system admins let their end-users do the fine tuning of spam management themselves and users really like this way of working. Additional powerful options such as automatically populating a users allowed list with people they send email to makes this sort of tuning even simpler.
+ What is the difference between the anti-virus plug-in and the attachment filtering plug-in?
Antivirus (AV) software is signature-based, and therefore detects known viruses and trojans. Brand new viruses are not detected as there is no signature yet. That is where the attachment filtering (AF) comes in. We are able to block executable-type attachments regardless of what they are called or if they are renamed, allowing for admins to have a 100% detection and removal of possible malicious attachments while at the same time allowing policy level exceptions for outbound and internal traffic. The AV and AF plug-ins together are highly effective, with extremely low overhead.
+ Are there eductional discounts?
Yes, Ninja falls into Sunbelt's Academic Discount Policy. Check with your Rep or Reseller which level applies to your organization.
+ Will Ninja also run on the Gateway? Will it support Exchange V5.5?
No, neither are supported by Ninja, however we will continue to support iHateSpam for Exchange and Gateway for the forseeable future, with normal enhancements to the anstispam engine scheduled.
+ Is Ninja using Microsoft's VS API that they built in Exchange for antivirus protection?
Yes, Sunbelt is a Gold Certified Microsoft Partner and we have been working with Microsoft in getting the VS API implemented per Microsoft's specifications.
+ As we handle IT for many different customers, will it be possible for us to manage all of these installations from a remote installation of the MMC snap-in?
Not yet. It's on a requirements list for future versions. For the moment it's best to remote into the box with the product like Radmin or VNC.
+ Can you handle dictionary mailbox DDOS by rejecting outright any e-mail not matching a legit mailbox in the Exchange environment?
Not yet. It's on a requirements list for future versions.

+ I'm not so sure I want to allow viruses/spam/malware into our Exchange server. What is your response?
We looked at this extensively before we started working on Ninja, and decided to run the product on server. Ninja allows you to delete viruses and malware at the time of detection BEFORE any email user could possibly access the malware. For instance, in the case of spam... Given the reality of false positives, an in-Exchange solution provides the best mix of safety and flexibility.
Look at it this way, even though you lock your front door you still put valuables in a safe, it's all about layered security, and you want to use different engines in the different layers!

Yes. Microsoft strongly encourages the development and adoption of Exchange VS API-based antivirus solutions.
- Ninja using VS API 2.0 is secure and preserves the integrity of the Information Store and its databases
- The Microsoft Exchange product group is committed to providing enhancements to this API, bug fixes, documentation, and technical assistance to ISVs like us.
- The Microsoft Exchange product group does not provide any code updates, documentation, or technical assistance to address issues related to the use of non-VS API-based solutions.
- For Exchange customers using a non-VS API-based solution, Microsoft Product Support Services may ask the customer to uninstall/disable the antivirus solution to help identify issues, this may delay in final resolution.
- VS API enhances the current core feature set by providing abilities to optimize and configure the scanning process at multiple levels, as well as providing Exchange administrators with built-in functionality to monitor the performance of the new API.
+ Will my licenses work on the Exchange 2007 version?
Yes, your license works the same in both versions.
+ What Exchange 2007 configurations does Ninja work with?
Ninja can work in different Exchange 2007 configurations. The document "Exchange 2007 and Ninja.pdf", describes what these are in detail. In general Ninja for Exchange 2007 only currently supports a single Exchange 2007 Server per Active Directory site with the Hub Transport Role and Mailbox Role installed on the same server. It does not currently support separating out the Edge Transport Role to a separate server. Sunbelt is working on a new version that will support these other configurations and will release that version later this year.
+ How do I configure the Sunbelt Advance Spam Filter to update through our firewall?
Before enabling the new Sunbelt Advanced Spam Filter, please make certain the server on which Ninja is installed is able to establish a connection to the following address/port:

+ Does Ninja Email Security work with Exchange 2007 SP1?
Ninja Email Security does work with Exchange 2007 SP1 but has some reduced functionality. With Microsoft's release of Exchange 2007 SP1 the architecture of Exchange 2007 was changed in part on the way it handles outbound messages by converting them to TNEF message format. With this change in architecture the Ninja Email Security Disclaimers functionality is not able to modify those outbound messages to successfully add a disclaimer resulting in email no longer being disclaimed.
This issue also extends to the granular Attachment Filtering capabilities of Ninja Email Security when it filters for outbound messages. Ninja Email Security on Exchange 2007 WITHOUT SP1 can filter outbound messages with attachments to strip out files and send the email with the attachment modified as needed. With the installation of SP1 and the change in architecture causing all outbound messages to be in the TNEF format we are not longer able to affect them in this way and have to quarantine or allow the message in full. This means that outbound messages with restricted attachment types would be quarantined and no part of the message would be allowed through.
Sunbelt Software and the Ninja Email Security team is working hard to keep as up to date as possible and is working on correcting these new issues to bring the full functionality of Ninja Email Security to Exchange 2007 SP1 installations. Plans for an update to the application supporting this configuration are in progress and the planned release is late 2008.
